Position Title: operations Coordinator
Overview: The Outreach House is seeking an experienced, professional, detail-oriented, self-starting team member to serve as Operations Coordinator. This part-time staff member will be responsible for handling various administrative and operations tasks including maintaining signage throughout the building, maintaining cleaning and maintenance schedule for all equipment, the supervision of external vendors in addition to being responsible for maintaining smooth and reliable operation of all refrigeration equipment. The Operations Associate will work closely with our team to ensure efficient day-to-day operations and compliance with all Health Department, Northern Illinois Food Bank, and Food Safety Training requirements.
The ideal candidate will have a strong command of Google Suite. Familiarity with QuickBooks and experience with technology databases are both highly desirable. By joining The Outreach House team, you will play a crucial role in supporting our important mission to serve our community.
Employment Status: Part-Time; up to 18 hours per week

Responsibilities:
Handle daily mail, email, and voicemail as appropriate, sending issues to Executive Director as needed.
Supervise maintenance of coolers/freezers including best practices for temperatures and food storage.
Maintain cleaning and maintenance schedule for all equipment as well as daily temperature logs.
Liaise with cleaning contractor on adequate cleaning of the facility.
Maintain signage throughout the building regarding program information and guest assistance.
Maintain adequate stock of brochures, business cards and other marketing materials.
Design and maintain recordkeeping for Northern Illinois Food Bank and National Diaper Bank Network orders.
Have familiarity with client registration software to provide back up at the front desk if necessary.
Oversee order fulfillment for the Order Ahead Program including printing customer lists, picking and packing orders, and order pick up.
Work with Volunteer Coordinator to create opportunities for volunteer groups and design appropriate tasks for larger parties.
Handle day-to-day accounts payable and receivable to ensure accurate and timely processing.
Supervise and manage donations received in person, and those gifts received by mail.
Build solid working relationships and help create a safe, secure, and healthy environment so guests experience the true mission of The Outreach House – to serve them with dignity and respect.
Attend staff meetings, required trainings, and major fundraising events.
Perform other duties as assigned by the Executive Director.
Qualifications:
Strong organizational, problem-solving, and communication skills.
Ability to work professionally, both independently and as part of a team.
Minimum three years employment experience in an office support or operational role preferred.
Capacity to manage multiple projects with attention to detail.
Aptitude to remain open-minded to new work ideas and methods.
Proficient in Google Suite and tech savvy in general. QuickBooks knowledge a plus.
Bi-lingual in English and Spanish preferred.
